This is a school trip, and as a participant, you are an ambassador for your school, your country, and your culture. These considerations should be reflected in your conduct throughout the program. The overriding principle here is to show consideration and respect for others and for your host country and its communities.
By joining the program, students and parents acknowledge their acceptance of this Code of Conduct, which includes, but is not limited to, the following:
Program attendance is compulsory.
Every student must actively participate in the program and follow the daily itinerary.
Every student should demonstrate a proper manner and attitude while participating in the program.
No student should engage in activities that would be frowned upon or considered criminal by the host country/community.
Any possession or use of, or involvement with, illicit drugs, cigarettes, and/or alcohol is strictly forbidden.
Access to improper websites and/or pornographic material is strictly forbidden.
Public displays of romantic affection should be avoided.
No student should injure/assault or threaten to injure/assault another or any other person.
No student should drive a vehicle, or travel on a motorbike. Hitchhiking is strictly forbidden.
An IMMERSE staff member must approve all activities outside the scheduled ones.
No student (whether alone or with others) should travel within the local area unless accompanied by an IMMERSE staff member.
Students must not visit nightclubs/licensed bars of any kind.
Partying in the hotel room is strictly forbidden.
Students must not enter hotel rooms of other guests staying at the hotel.
Students must not entertain other guests in their rooms who are not part of the program.
Failure to adhere to the above rules may result in a student being asked to leave the program or sent home at the earliest convenience with costs
Air Transport – The IMMERSE Education delegation will travel in one group on a group ticket. Securing the group ticket requires IMMERSE to:
Confirm the size of the group as a matter of urgency
Observe firm payment deadlines.
It is critical that we are able to confirm the size of our delegation with the airline shortly. Our payment schedule has been fixed with the group ticket deadlines in mind. Any payment delays from participants come with the risk of our losing the group ticket and with fares going up as a consequence.
Ground Transport – IMMERSE Education will use a mix of hired buses and public transport (e.g., hop-on hop-off buses in DC) as appropriate.
IMMERSE Education provides comfortable accommodation for all participants. Typically, students share rooms—usually 2 or 3 students per room. In every hotel we use, each room is self-contained (i.e., bed, fridge, hair dryer, iron and ironing board, safe, individual AC & heater, bath). Towels, beddings, and soap are provided for each occupant.
Each supervising teacher or staff member will be assigned their own room throughout the experience. Teachers travelling with their spouses/partners will share a room.
All meals will be provided by IMMERSE Education. We will take every necessary step to account for each participant’s particular dietary requirements, including allergies and the like. Participants should make sure to include information about their food (and other) allergies as requested in their application.
Throughout the program, participants will have access to good medical care. There will always be a first aid kit with us for minor issues. However, for major health issues, participants will have access to medical facilities close to our hotels.
Participants will require
COVID-19 vaccination and
Yellow fever vaccination at least 2 weeks before departure
Ask your family doctor for the required medicines and vaccinations (e.g., yellow fever—visitors from some countries must show the certificate).
Participants will receive medical forms from Space U to complete as part of their registration process.
Mastercard and Visa cards are accepted in most places (shops, restaurants, etc.) and by most bank ATMs. All financial transactions in the USA are made in USD
Clothing
It will be summer in the US, so pack:
Some smart casual attire—jeans, t-shirts, and sturdy trainers/walking shoes—should be fine for most activities, including attending classes/lectures and going to games, parks, and museums.
Something formal for the dinner with the astronauts/engineers.
Your swimwear for scuba diving—a neutral buoyancy experience.
Health & Medications
All your medications (enough for the period), especially EpiPens and inhalers. Where necessary, bring along all prescriptions, management and treatment plans, and give them to an IMMERSE Education staff member on arrival.
Electronics
Your phones and any digital electronics and chargers (where necessary) for photography and video recording. American electrical systems are 110V, so please bring adapters for phones and other electronics.
Pocket money
You will need it for souvenirs, gifts, snacks, etc. US$250 – US$300 is recommended
Supervision
For every 15 students who sign up from a school, one (1) teacher from the school accompanies the students at no CHARGE. Should the school wish to include a second teacher, a full participation fee will apply.
Teachers/staff members accompanying school groups have a significant role to play as partners in this educational endeavour. They are directly responsible for ensuring that their students are worthy ambassadors of their schools. They are also seen as professional partners of the IMMERSE Education staff in ensuring that the objectives of the program are fully realized.
Details of these responsibilities will be shared with the participating schools once participation has been confirmed. This will include undergoing first-aid training.
Each supervising teacher or staff member will be assigned their own room throughout the experience. Teachers travelling with their spouses/partners will share a room.
The cost of participation for the 2025 program is:
